Employee I-9 Data Detail
Fields on the Employee I-9 Detail
- Employee Number.
The
employee for whom the I-9 information applies.
Citizenship Information
The "Citizenship Information" section corresponds
to Section 1 of Form I-9.
- Options include:
- Citizen or National of the U.S. Select
this option if this employee marked the checkbox identifying himself or
herself as "A citizen or national of the United States" on the
Form I-9.
- Noncitizen National. Select
this option if this employee marked the checkbox identifying himself or
herself as "A noncitizen national of the United States" on the
Form I-9.
- Lawful Permanent Resident.
Select
this option if this employee marked the checkbox identifying himself or
herself as "A lawful permanent resident (Alien Registration Number/USCIS Number)" on the Form I-9. For
Lawful Permanent Residents, enter the Alien or Admission
No.
- Alien Authorized to Work.
Select
this option if this employee marked the checkbox identifying himself or
herself as "An alien authorized to work until" on the Form I-9,
and enter the expiration date entered on the Form I-9.
- Naturalization No.
For naturalized citizens or nationals, enter the Naturalization No, if provided.
- Alien or Admission No.
For aliens
authorized to work, enter the Alien Number or Admission Number on the
Form I-9.
- Work Until.
For aliens
authorized to work until a certain date, enter any applicable work until date.
- Foreign Passport Number.
For an alien authorized to work with an Alien Registration Number/USCIS number, enter any applicable foreign passport number.
- Country of Issuance.
If a foreign passport number is entered, also include the country of issuance.
Preparer and/or Translator
The "Preparer and/or Translator" section corresponds
to Section 2 of Form I-9, which is completed when the I-9 was prepared
or translated by someone other than the employee.
- Name. In
the Preparer and/or Translator section, enter the full name of the person
who prepared and/or translated the I-9 document.
- Date.
Record
the Date the I-9 was prepared.
- Address 1.
Record the street number and address (the first line of the mailing address) for the preparer and/or translator.
- Address 2.
Record the second line of the mailing address, such as an suite and number, for the preparer and/or translator.
- City.
Record the city or town for the preparer's mailing address.
- State.
Select the state code for the preparer's mailing address.
Employer Review and Verification
The "Employer Review and Verification" section
corresponds to the Certification portion of Section 2 of Form I-9.
- List-A, B, and C. In
the Employer Review and Verification section, complete the fields according
to the instructions for Lists
A, B, and C, and the supporting documents provided by the employee.
- Authorized Representative. In
the Authorized Representative field, select the supervisor, often an HR supervisor, who verified this I-9 form.
- Title. Enter
the authorized representative's name followed by a comma and then the
representative's title.
- Date. Enter
the date that the authorized representative certified the I-9.
The Employee I-9 Detail doesn't have fields that correspond
to Section 3 of Form I-9: "Reverification and Rehires." Complete
a new Employee I-9 Detail as needed.
