Organizational Setup for PTO/Attendance

The Benefit Codes Table is one of the key factors in linking Attendance to Payroll. On the Benefit Codes Table, set up a Benefit Code to relate to an Hours Accrual Code.

Edit an existing record for a PTO benefit on the Benefit Codes Table, or add a new PTO plan with a different code name.

Verify a PTO Benefit (or Paid Vacation, Sick Time, etc.)

The following selections are needed to maximize processing for the PTO benefit.

  1. For plans that use the system to automatically update accruals, whether once a year or on a different schedule, verify that the Accrue Hours checkbox is marked and the related Hours Accrual Code is selected.

Results:  The selected hours accrual code determines the Benefit Hours Accrual policy used to calculate and reset the hours for the plan.

  1. Select the Earning Code for PTO.

Results:  This is the earning code that will receive the hours from any accruals for the selected policy.

Paying hours on that Earnings code to an employee with a balance of hours reduces the benefit hours and can create an Employee Attendance Detail record when payroll is posted. (See the Attendance Code selected on the Earnings Code for the PTO, sick, or vacation pay, to see the type of Attendance Detail record that will be created, if any.)

To print benefit hours information on employee checks, also mark the checkboxes for Print on Check on the Hours Accrual Codes Table and the Earnings Code.
