A validation table is what powers a drop-down selection list. Interlinking codes record information and maintain sets of valid choices for a field.
The Recruiter role typically has access to maintain a limited number of validation tables. For information about a particular table, go to the help system's "Search" tab, type the table name, such as Job Code for the Job Codes Table, press Enter, and click on the table name from the list of topics that displays.
To avoid adverse effects on system performance, DO NOT DELETE CODES. Only deleted a code after confirming that the code is unneeded and is not used for history reporting.
Online validation tables feature buttons to print the current page and refresh the page view. Additionally, validation tables feature a button to return to the validation table listing.
Working with a Validation C-O-D-E
If you are responsible for adding or modifying a record for a validation code, keep this in mind: C-O-D-E.

On is for normal use. A code that is "on" has a checkmark in the Active checkbox. A code must be active (have the Active checkbox selected) to be available in the system. To remove a code from service, clear the Active checkbox. Only de-activate codes as necessary. To avoid adverse effects on system performance, do not de-activate or delete codes without exercising all due caution. |

Description needed. Leave special characters and punctuation out of Description fields. Each code should have a text description of up to 30 characters that gives additional information about the data represented by the code. Freely edit the Description without impacting processing and without having to edit all of the associated records. |

Effective. Verify that the same Process Sequence number is not defined for more than one code in the validation table (only available for several payroll tables). |
Actions within validation tables include adding, editing, activating or deactivating a code record and then saving it, or deleting the record. Consider the impact of making changes. Actions in validation tables can be performed almost immediately allowing the addition of a new code or the revision of an existing code, affecting there entire client system.
Avoid defining duplicate code records. Sometimes you may be unable to change or delete existing code records due to system constraints. In this case a warning message displays.

The best time to de-activate or delete or unnecessary codes is during the implementation process, prior to setting up employees and processing payrolls.
CAUTION! Once a code is removed from the table, it cannot be recalled, but it may be re-added. Authorized users can delete a code from a validation table, but this is not recommended and can cause orphaned selections on existing records. Reconsider deleting the code. It may be advisable to deactivate the code instead of deleting it.
