Time Clock Transaction codes support the self-service weekly timesheets and time off requests. Each timesheet entry for an earning, deduction, or timesheet calculation of overtime, piecework, or tip record, requires a specific pre-defined Time Clock Transaction code. A code needs to be active to be selected by the user.

A checkbox on a time clock transaction code indicates whether a transaction is for employee time off requests, and allows the code to be selected for a time off request and on the timesheet.

Transaction codes have specific functionality for each numeric code number. A full set of transaction codes is supplied with the system. Avoid deleting any of the codes listed in the "Time Clock Transaction Code Setup" chart. At implementation, de-activate any unwanted time clock transaction codes other than 01.

Unlike many other validation tables, existing time clock transaction codes can be used by automatic processing even when they are inactive. For instance, the overtime codes in the 900-series are required for processing of overtime for the weekly timesheets, but these codes only need to exist and be defined with the correct selections; the time clock transaction codes for overtime don't need to be active.  Overtime and doubletime time clock transaction codes require one or more earnings codes with a rate factor of 1, often the OVT or DBL earnings codes.

WARNING:  Time Clock Transaction codes shouldn't be deleted, appended, or altered. Changes to the provided Time Clock Transaction codes or incorrect associations with earnings or deductions impede the accurate transfer of timesheet information through the process hours tool into pay entry. Such changes and new time clock transaction codes are unsupported.

Time Clock Transaction Code Setup

This chart can be used to resolve timesheet implementation issues by comparing the set up outlined here to the set up in a given client system and by then applying the changes as needed. Fixing the set up corrects timesheet processing on a go-forward basis. Apply changes for a current payroll through detailed pay entry.

Some modification of descriptions can be made. For best results, use each code for its described purpose.
