Add New Candidate
Details
Applicants and candidates typically add themselves to the system by
completing an online application through the Candidate Self Service portal.
Others can be added through the Add New Candidate wizard.
To open the wizard to add a new applicant, go to the Recruitment menu, and choose the option to Add
New Candidate.

Complete all required information and all available information.
Click on Save.
Fields on the Candidate Information Screen
Personal Information
- Applicant
No (required). A
newly added record has a system-assigned Applicant
Number. Accept the system-assigned Applicant
Number or enter a unique Applicant
Number. With system-assigned numbers, the system increments and
assigns Applicant Numbers automatically.
- First
Name (required). The
applicant's first name.
- Middle Name. The
applicant's middle name or initial, if any.
- Last Name (required).
The applicant's
last name.
- Nickname.
The applicant's
Nickname, if any.
- Date
Applied. The
date of date of the job application. This auto-populates with the current
date, and can be adjusted as needed.
- Date
Available. In
the Date Available field, enter
the date the applicant becomes available
for hire. The system has been predefined to automatically populate this
date 30 days from the Date entered in the Applicant section. Enter a date
2 weeks from the Applicant date.
Mailing Address
- Address
1 (required). The
applicant's street address.
- Address
2. The
second part of the applicant's mailing address, if any.
- City
(required). The
City from the applicant's mailing
address.
- State
(required). The
State from the applicant's mailing
address.
- Zip
(required). The
zip or postal code for the applicant's mailing address.
- Salutation. To
complete the applicant's full name, select the appropriate Salutation
to address the applicant from the selection list generated by the Salutation
Codes Table.
- Use
Secondary Addr? If
the applicant has a secondary address and requests that address be used,
select the "Use Secondary Address" checkbox, and complete the
Alternate Address section.
Alternate Address
- Address
1. For
an alternate address, any first address line.
- Address
2. For
an alternate address, any second address line.
- City
The city.
from the applicant's alternate
mailing address.
- State.
Select
the any alternate addresses' State.
- Zip.
The zip
or postal code for the applicant's alternate mailing address.
Contact Information
- Home
Phone. The
applicant's home phone number.
- Work
Phone. The
applicant's work phone number.
- Email
Address. The
applicant's e-mail address.
- Cell
Phone. The
applicant's cellular phone number.
Additional Information
- Internal
Employee. Select
the Internal Employee checkbox
if the applicant is a current employee of the company.
- Previously
Applied. A
Previously Applied checkbox can
be selected by the candidate or recruiter to indicate "Yes"
the applicant has applied previously.
- Active?
The active
candidate indicator is available to indicate "Yes" or "No"
to whether the applicant is being actively considered for an open requisition.
- Worked
Here Before? A
Worked Here Before checkbox can
be selected by the candidate or recruiter to indicate that "Yes"
the applicant worked for the employer previously.
- Hirable?
The Hirable
checkbox is selected if the applicant has designated
as eligible for hire.
- Background
Complete? When
editing this section, the recruiter can select a Background
Check Completed checkbox to indicate that "Yes" a background
check was completed.
- Ready
for New Hire? If
this applicant has been screened and offered a job, select the checkbox
for "Ready for New Hire."
- Status.
The applicant
status indicates the stage of the applicant process and screening results.
- Save.
Click on
Save.
After an applicant/candidate is added, the candidate can
be associated with one or more requisitions from the "Find
Prospects" screen.
Additional information can be added on the Candidate Profile.
